10/12/06 Meeting Notes

 

Those in attendance:

September Minutes: Amy to provide changes in September minutes and forward for approval.

Relational Question: Most recent book read and favorite season.

Hospitality: We should recognize Trish and Eve for Bingo night and Dave Bernard for the Canvas for the lobby project.

 

Old Business

·        Endowment - Some schools have returned to fund raising above and beyond operations. There are five funds at the Archdiocese of which three are not allowed for bankruptcy payments. The decision to be made by the executive committee on resuming The Children in Our Lives Luncheon. Next executive committee meeting is 11/1/06. One member of St Clare Bankruptcy committee is not in support of resuming the luncheon currently.

 

·        From the Quad council on 9/23/06 the Vision statement created is a composite of the work done, “To be a Catholic community which invites everyone to share and celebrate the transforming power of God’s love through worship, education, and service.”

 

·        The school mission statement and school wide learning expectaitons have been condensed for accreditation. For future: The Parish Mission Statement will be reviewed in the Spring and the School Mission statement review would follow. Discussion to go to the SAC first before the faculty on Mission review for the next accreditation process. Faculty will lead on School Wide Learning. Alternate every other month on having the school mission and vision statement on the SAC agenda.

 

·        Cartie to follow with Sr. Moe on 10/19/06 to determine if a call around is needed for the Parent survey due on 10/24/06.

 

Accreditation Process: Julie reviewed accreditation process hand out.

Phase 1: Organization and orientation.

Phase 2: Profile, Beliefs, Mission and Expectations for Student Learning.

Phase 3: Standards and Assessments Evidence Based Accreditation, and eight standards.

 

·        Every year Sr. Moe has to update the learning process.

·        SAC will be interviewed during the accreditation process.

·        Moe reviewed school profile information (hand out).

·        Point of follow-up: Should we recognize those who have been teaching at St Clare over 10 years?

 

Five Year Plan

Linda reviewed brief outline of the five year plan.  Budget allocations based upon priorities on 5 year plan. PPP to update.

 

Items discussed:

·        We have added a Learning  Specialist.

·        We have kept teacher salaries at 80% of PPS.

·        Technology is ongoing. Server is down again. We need a full time “tech” person.

·        Need for a full time math/science teacher.

 

New Business

Auction Split: Recommendations and percentage split are to be decided by the Executive committee. We discussed the revised auction split to include the preschool: School: 70%, Parish: 25%, and Preschool: 5%. Sr. Moe and Karen and to review financial impact and the continuation on the two year trend put together by Nancy and Collette.

 

Paddle bid option discussed for 2007 auction: Landscaping combined w/Play ground structure, storage, and irrigation. Linda and Nancy to work with Development Committee on a plan for the auction. They will coordinate to meet in the next couple of weeks prior to the Executive committee on 11/1/06.

 

Decision making – The policy committee will formally request that the Pastoral Council and Administrative Councils arrive at an efficient decision-making policy that is both collaborative and will allow for quicker implementation of decisions. 

 

SAC Approval for receptionist. This will be built in to the budget process so we can see how this position will effect our budget.

 

Parish Subsidy. Current subsidy is $100,000. Formal request is for the additional $5000. School budgeted for $105,000.

 

On Adopt a Student weekend Mary Kay will do 5:00pm and Jeff Gianola to do Sunday Masses.

 

Future Funding of Catholic Education – What should our next proactive steps be?  Deferred.

 

Development Director – do other schools have one? Development committee grants? Can Rhoni Seguin be a source for writing grants?

 

Pastors Report

Good turnout for the Inconvenient Truth. The Adm Council is going to focus on sustainability. This years theme: “Energy”. The Community Garden has begun by side of Church. It will be planted next Spring.

 

Principals Report. Distributed prior. Enrollment looks good. Discussion of Auction split above in notes.

 

PTC Report –

·        BTS format is improved, but concerned about “visibility” on volunteer opportunities.

·        Early estimate for Bingo is $2000.

·        Sally Foster estimates are below year ago.

 

 SAC Committee Reports: 

i. Finance Committee Report:  working on the budgets and on Parish on allocations. Talked w/PTC about fund raising and securing estimate for 2007/2008 budget.

ii. Marketing and Enrollment Committee Report:  Provide feedback on Open House. Flower pictures are showcased at the Multnomah Starbucks to highlight our schools outstanding art program. The entry lobby project is underway. Request for help forth coming to bring to completion.

iii. Process and Policy Committee Report:   Revised work plans shared. Need to create “Draft” language, review uniform policy, and address five year plan.

iv. Development/Facilities Committee Report:  PPS has a fund for a multicultural curriculum Julie to follow with contact name. How do we “fund” other things and/or secure funding? If we can’t do the endowment what other research projects can be done?  Solar project to tie w/curriculum. More to come in the next month or two. Looking into company matching funds.

 

Chair Report:

Linda met with Sr. Moe and the chairs from the Development, Marketing and Policy committees over the past few weeks. These meetings helped to clarify work plans and projects toward our SAC goals.

In addition, Linda met with Fr. Tom, Sr. Moe, and representatives from the Admin Council and Preschool council to discuss the 2007-2008 Auction split of proceeds. A meeting of the Executive committee is set for 11/1/06 to further discuss this issue.
