Minutes Approved from June Meeting

 

Old Business

By Laws:  A statement needs to be added to the by-laws saying that we are always open to considering new members to the PTC Board.  A question ensued regarding whether we need specific term limits.  It was recommended a minimum 2 year term be adopted.

Meeting Minutes:  It was agreed that meeting minutes would be completed within 2 days of our meeting, approved by the President and posted on the website by Patty Nest (with a reprieve for this meeting due to time constraints of the Secretary).

 

Teacher Appreciation:  There was a discussion regarding whether we should include the whole BASC staff with our Teacher Appreciation budget/program.  Patty confirmed that they already receive a bonus that is budgeted each year so it was agreed that we would include them by giving them cards & something small as we do for the teachers.

 

Financial Update:

Current balance is $7,883.  A more detailed financial report is forthcoming at the next meeting.

 

Mary Kay Cannon will send out a reminder to Room Parents to turn in receipts in a  timely manner for reimbursement. The reminder was also included in the Parent Handbook.

 

 

 

 

 

 

PTC Handbooks: PTC info for this year will be in a separate handout and will be sent out in the Tuesday mailer.  It was decided that we would plan on keeping it in the regular Parent Handbook for upcoming years, but we need to have all information updated and completed on time for printing. 

 

PIP Opportunities: Eileen Freemont will create an updated list of what positions are still open and have Patty email it out before Back to School night.

 

The volunteer opportunity sign up form that was completed in the spring will still go out but we need to make sure for next year that it is done by August.

 

Bingo Night: Trish Hickman/Eve McCarthy, Chairs, scheduled this event for January 21st.  They need to get licenses and will be needing volunteers.  The goal is for this to be a family fun night, and a fundraiser.

 

Casino Night-original dates are booked so we are currently looking at the end of March or early April. This is an adults only event.

 

Amy Marconi is the new PTC Vice-President.

 

Back to School Night is 9/16 for K-5.  We’re using Back to the Basics theme with no big fanfare.  There will be hotdogs/chips/soft drinks.  We need a host table to greet new parents

 

Back to School Night for middle school parents and teachers is 9/21.  Carol Nevarez will provide cookies and juice.

 

Entertainment Books: Last year we ordered 250.  Because we ended up with a surplus, we plan to order less this year (appx 140).  We need to push this event in the fall as the books go into effect in November. One option is to buy online & still give credit to the school for out of towners.  One possible incentive to sell them is to have a minimum # to sell per family (1), i.e. sell 4 get 5th free.  Teri Price, Chair, will cut-off this promo in mid December.

 

Sally Foster: Gift Wrap order forms went out Sept 9th with a Sept 30th deadline. Liz Parker, Chair, will display the options at the Parish picnic and masses.

 

Wreath/Poinsettias: Maria DaSilva, Chair, said that we made $1500 last year. 50% of profit goes to the school.  OES hit neighborhoods early so we need to get a jump start.  The kick-off is expected to be the first weekend in October.  A flyer needs to be prepared early to let people know that we will be selling them, and not to buy elsewhere.  Suggested that the Wreaths be delivered before Thanksgiving as that is the weekend that most people start decorating for holidays.

 

Golf-no update other than October 17th at Pumpkin Ridge

 

Script: Was suggested that we have a monthly update in the Dragon Post as to what are goal is and the current YTD.  Patty to complete.

 

Auction update:

Collette Rees-Feb. 26th. Jeff Gianola will host. 

Many positions to fill.  Facilities Chair a huge need t fill.

Raffle Chair, Oral Auction chair, Graphics. Will be having an informal wine/dessert meeting at Jennifer Pinder’s house on Sept 28th.  It was recommended that we need to make a strong statement re: how the bankruptcy will not play a part in the $ donated & that auction proceeds are designated $ and will not affected by bankruptcy proceedings. This year is the first year we will have a 75/25 split with church but we must have involvement. 

 

Nexr meeting scheduled for Tuesday October 12th.
